A How-To on using Lotus Notes (Webmail) on a web browser. Mostly applies to Mac OS users using a Safari / Internet Explorer.
Using Lotus Notes on the Web
(using an iBook/Mac)
Open you web browser (most likely it will be the compass for Safari or the Explorer icon on
your dock )
Type in the address: notes.buffalo.k12.ny.us (NO www.!) Press Enter.
Your screen should look like this:
Type your user name in the box. It is usually your first initial and your last name (Don’t use
spaces). Now click on the password box and enter your password. Then click Login.
If you are having problems with your password, contact the Help desk at 851-3510 and
they can reset it.
Click on Open Your Mail File.

Next, you will be prompted by this screen. Click on Use WebMail
How to Read Your e-Mail.
After logging in to Lotus Notes, click on the Inbox in the side menu.
This will give you a list of all of your e-mails. You will be able to identify:
who sent it, the date and time it was sent, the size of the file and the subject.

To read your e-mail, just double click on the name of the person that sent you the e-mail.
Note: After you read an e-mail, and return to the Inbox, you will notice the e-mail that you just
read changed color.
To Trash or Delete a message:
If the message is open, then just go up to the Tool Bar and click one time on the Delete\Delete.
If you are in your Inbox, click to put a check mark in the box in front of the message, then go
up to your Tool Bar and click on the Delete\Delete one time. A trash can will appear in front
of the message. Then click Delete\Empty Trash.
Note: You can delete multiple messages at one time by placing a check mark in the box in front
of each message that you wish to trash, then follow the same instructions above.
If you change your mind and do not want a message deleted, before you empty the trash, you
can recheck the box next to the trash can and again click Delete\Delete.
How to Create and Send a New E-mail Message
1. Click on New Message in the
tool bar.

2. Enter the address in the To field
(How to use the Address Book
will be explained on the following
page.)
3. Type the subject of the message
in the Subject field.
4. Click in the message area.
If your cursor appears you
may begin typing your message.
5. Click Send\Send on the top tool bar.
How to Use the Address Book
After you open a new message,
click on Address… on the top tool bar.
This will open the Address Book
You will see your personal list of contacts.
To locate the Buffalo Address and the
Regional Address Books, click on the dropdown
menu.
From here you can click on the Buffalo Address
Book.

To locate someone in the Buffalo Address
Book:
1. Type their last name in the Find box.
2. Click on Find.
Once you have located your addressee, click on his/her name and then click on:
To: to address the e-mail to that person
cc: to send this person a carbon copy of the
message
bcc: to send blind carbon copy, meaning the
addressee will not know it was sent to
someone else.
You can repeat these steps as many times as
necessary to send the message to multiple
contacts.
When you are finished, click OK.

Opening an Attachment
1. When you receive a message that contains an attachment, the attached file(s) will be visible at
the bottom of the message window.
2. To view the attachment, move your cursor onto the file name and double click.
3. The attachment, will go to the Downloads folder. You can double click on the document and
open it in a separate window. This will allow you to view, edit, and/or save it. You may then
choose to save it using Save As from the File pull down menu. Simply closing this window
will return you to the original e-mail message.

How to attach a file to an e-Mail message.
You may attach any type of file to an e-mail message as long as you know where to find it on
your computer. Note: Pictures, music, and especially videos are very large files and may “tie up” your
computer for a while if you try to send them as attachments.
1. To attach a file to a message, simply
click on the in the middle
of the new message window next to
“Attachments:”.
2. A window similar to the one shown
below will appear.
3. Select the document you wish to send,
then click Open.
4. You will be returned to your new message window and the file you have chosen will be shown
in the box next to the Browse button.
Note: You may not see the entire file name. You may attach only 2 documents per e-mail.
The file will be moved to the attachment list. You may then add another file if you wish or use the top
tool bar to send your message with the attachment.
Note: Only files may be attached, not folders or entire directories.

Sending Your Message:
After completing your message, you have a few options to Send your e-mail
Send\Send: Just sends your message
Send\Send and Save: Sends your message and keeps a copy in your files
Save As Draft: This save your message for future editing.
If you want confirmation that your e-mail was received, first click on Delivery Options and click on
the check box in front of Return receipt then click OK.
How To You Customize your iNotes:
Go to your Inbox. Click on the Tools\Preferences on the tool bar.

First click on Signature in the Preference menu.
Click this box to check it and it
will automatically put this at the
bottom of every message you send.
Click in this box and type your
name and any information you want
to appear on the bottom of every
e-mail.
