Apple Remote Desktop 2.1 Documentation Complete

Apple Remote Desktop is a utility for managing, controlling, and viewing Macintosh OS X based computers. Teachers can use ARD to observe, control, and interact with their student’s computers. Network administrators can use ARD to remotely update, control, install, and manage practically any aspect of the computer’s operation. Apple Remote Desktop version 2.1 has new features that allow controlling permissions to be assigned using the user’s network login. For example: User000 can add workstations to their ARD Workstations list using their own User000 and their password. This document will detail the steps for setting up a school to take advantage of this powerful tool.

Introduction
Apple Remote Desktop is a utility for managing, controlling, and viewing Macintosh OS X
based computers. Teachers can use ARD to observe, control, and interact with their student’s
computers. Network administrators can use ARD to remotely update, control, install, and
manage practically any aspect of the computer’s operation.

ARD version 2.1 has new features that allow controlling permissions to be assigned using the
user’s network login. For example: User000 can add workstations to their ARD Workstations
list using their own User000 and their password.

This document will detail the steps for setting up a school to take advantage of this powerful
tool.

Basic Steps
Below is an overview of the steps required to make this work. More detail follows.

1. Configure ARD Admin on the server

2. Install/Upgrade ARD to version 2.1 on all of the machines

3. Install and Setup ARD Admin- Identify the teacher/controller workstations and setup
  the Remote Desktop application and it’s serial number
     a. ARD 2.x requires a serial number that’s unique- ie, if two instances of the
       Remote Desktop admin are run on the same network with the same serial
       number, then an error will occur

4. Use Remote Desktop Admin to set the ARD permissions on the desired Lab/Library
  computers that teachers should control.

5. Using Workgroup Manager, create a group called ard_interact and put all of the users
  who need the interact privileges in it. Members of the ard_interact group will be able to
  perform all commands under the Interact menu.

6. Show/help teachers set up their computer lists using their own usernames and
  passwords.
     a. Users in the ard_interact workgroup will have access only to the functions in
      the Interact menu.
     b. Put a copy of the ard_interact How To pdf in the Faculty group folder

Configure ARD Admin on the server:
(For Admins only) ARD Admin must be installed and configured properly on the server. The
software should be installed, but may not be yet configured. To configure:

  o Connect to the server with ARD Admin and add it to your local ARD list




  o Take control of the Server, login as Admin or Root and start ARD Admin on the


   server (Applications/Remote Desktop)
  o Change the server’s ARD preference to “Allow control of this computer when Remote
   Desktop is active.”




  o In the Preferences, change the Double-clicking option to Control.
  o In the Preferences, change the Serial Number to the correct serial number for the
   server in that building.
  o Close the preferences.
  o Add all of the workstations to the Master List on the server ARD.
     o Turn on all of the workstations you wish to work on
     o Click the Scanner button on the ARD sidebar
     o Choose Local Network (or use network range)
     o Select the desired Macs, and choose Add to Master List from the list Tool




      menu.
     o Authenticate to the workstations using the sadmin username.

Install/Upgrade ARD to version 2.1 on all of the machines
(Admins only) The best way to upgrade the clients is take control of the building’s server (or
another local machine with ARD Admin set up), run Remote Desktop on the server, and use
ARD’s Manage Upgrade Client Software… command. ARD Admin must be set up on
the server first.

  o Take control of the building’s server, login as Admin or Root, and run
   Applications/Remote Desktop
  o Verify that the desired workstations are in a list or in the Master List.
  o Select all of the workstations in the Master list that are have a different version of
   ARD 2 installed.


  o Choose Manage     Upgrade Client Software…




  o Click Upgrade
  o The task should show up in the task list, and eventually finish. It pushes out the client
   package, and then installs it.
  o If it doesn’t appear to finish, quitting ARD Admin on the server and starting it back up
   may refresh the status to the correct status.

Install and Setup ARD Admin On The Teacher Workstations
(Admins only) ARD 2.x requires a serial number that’s unique- ie, if two instances of the
Remote Desktop admin are run on the same network with the same serial number, then an
error will occur. Get the serial numbers from Sharon or the server team sharepoint.
(ARD Admin should be installed and configured on the server)

  o Identify the teacher/controller workstations where ARD Admin needs to be setup
  o Use ARD Admin on the server to install the ARD2.1AdminInstall.pkg on at least the
   desired workstation. (It’s just as easy to install it on more workstations if they’re
   available- it’s recommended to install the software on all workstations, but not the
   serial #)
     o Control the server, login as Admin or root, and start ARD Admin
     o Download the ARD2.1AdminInstall.pkg if it isn’t already available on the
       server, and put it in an accessible place (check the serversync folder)
     o In ARD Admin on the server, elect the workstations to install the Admin
       package to from a computer list. (It doesn’t hurt to install it on extra
       workstations…)
     o Click the Install Packages tool.



      o Click the + button, navigate to find the ARD2.1AdminInstall.pkg, and then




       click Install.
      o An active task should appear in the task list, and the package will be installed.

  o Configure the ARD Admin serial number and settings
    o Control and login to the desired Teacher/controller workstations as a local
      administrator (locadmin or sadmin).
    o Run /Applications/Remote Desktop
    o Enter in the assigned serial number for that machine. It must be different for
      each ARD Admin machine.
    o You may be asked to enter an ARD password. Enter your administrator
      password. ( If a password had been already entered, click I forgot, then change
      the password to that local adminstrator’s password.) Authenticate with the
      local administrator account info.
    o Some clones had machines entered in the machine list. Delete them.
    o In the Remote Desktop Preferences, set Double-clicking option to
      Control and check the “Allow control of this computer when Remote Desktop
      is active.” option.

Use Remote Desktop Admin to set the ARD permissions for the
Workstations
  (assumes you’ve completed the preceding steps)
    o From ARD on the building’s server, create a computer list for each of the labs /
     libraries that you’ve identified as requiring teacher
     interactions.
    o Select the computers in a list.
    o Choose Manage Change Client Settings
    o Click
    o Leave the default startup settings, click

    o Leave “No, don’t create Users…” selected, click

    o On the Incoming Access Screen, select the “Set authorized
     groups to:” checkbox, leave the other settings, and click




    o Leave the settings for “Screen Sharing Options”, click
    o Leave “System Data” settings blank, click
    o At “Change Client Settings” click Set.




    o The task should finish. Once done any user name in the ard_interact group should
     be able to add these workstations to their ARD computer list and administer them.
     Make sure the task completes….

Add the Faculty Usernames to an ard_interact group using
Workgroup Manager
(This assumes that the ard_interact group hasn’t been configured yet)

  o Start Workgroup Manager and connect to the building’s server using a server
   administration account and password.
  o Click the group icon tab

  o Click the New Group button

  o Name the group ard_interact
  o Click Save.


  o Click the Add Members button
  o Type “user” in the search field to show just the “userxxx” usernames (ie- the teachers)




  o Click in the list, and type “Command-A” (select all) to select all of these users.
  o Drag the selected usernames to the group Members list.




  o Click Save.

  How To Use Apple Remote Desktop 2.1 to Share, View, and
           Control Screens
        (for Teachers and/or users in the ard_interact network group)

This document assumes that your server and labs have had the software installed and the
settings configured to allow the ard_interact group to operate. Please see your TIS person /
technology contact person to find out if you have this capability in your building.


First Time Setup
Enter a Remote Desktop password
The first time you start Remote Desktop, it will require you to enter an Apple Remote
Desktop password. Enter a password when prompted, and repeat the same password in the
Verify: field. You may use your account password.




After you enter your password, the Remote Desktop window will appear and show the

Set up your Remote Desktop preferences:
Choose Remote Desktop Preferences to bring up the preferences.
1. Recommended: Change Double-Clicking performs: to Control. This will allow you to
  take control by double-clicking on any computers in a computer list



2. Necessary: Check the Allow control of this computer when Remote Desktop is active
  checkbox. This will allow other administrators to help you use Remote Desktop.

3. Click the close box when done.

Create a Computer List
The Scanner tool will scan for computers that have Remote Desktop access enabled. From
the list of computers on the network you can create a permanent computer list
  o Make sure that all of the computers you wish to control/observe are turned on
  o Select the computers in the Scanner list for the room you wish to interact with.




     1. (Hint: select the first, hold the shift key, and select the last workstation in the
       list to make a multiple selection)
                                     , and click
    2. (Hint2: Make sure Local Network is selected
      the refresh    button to repeat a scan)
  o From the Tool pop-up menu, choose New List From Selection to make a new list
   from the selected computers




  o Type your username and password where indicated, and click Add. The selected
   workstations should be added to your new computer list.




  o Rename the computer list you created. Pick a name that reflects the location/room.



  o Repeat for each lab you may need to control/interact with: create a list for each area


Some Hints and Pointers:
  o You may use the scanner to find and add computers to any of your lists at any time
  o The Master List contains ALL of the workstations you have authenticated to in
   Remote Desktop
  o You may sort any list by clicking the heading of the desired field (Name, Current
   User, etc…)

Viewing Computers
The Observe mode of ARD allows you to view a single screen or multiple screens at once.
It’s useful for keeping track of what the users are doing, and for talking a student through a
problem or issue.
 1. Select the computer(s) you wish to observe.




2. Click the Observe button in the toolbar or Interact Observe


3. By default, all of the screens will show up in miniature view.




4. Within this window you can view and interact with the machines in a number of ways…
     a. You can select a machine and observe it separately from the group.
     b. You can select a machine and switch between control and observe.



      c. You can change the number of machines you see at once. If there are more
       than will fit, the window will rotate based on your time setting.

     d. You can change the image quality to show fewer colors. This may speed up
       the responsiveness of your viewing.




Controlling Workstations (or Observing a Single Workstation)
The Control functionality of ARD 2.1 works similarly to that of Observe mode, but can only
work on one workstation at a time.
1. To control a workstation:
     a. Select the workstation from a computer list and click the Control button (or
       Interact Control)


     b. OR, if you are Observing multiple workstations, select one, and click the
       Control Target Computers button.
     c. OR, if you are Observing a single workstation, click the Control Mode or
       Observe Mode button.


2. Once a machine is controlled, you can…
     a. Switch to Observe mode to relinquish control.
     b. Allow the user to share control of the mouse, or take complete control of the
      mouse. (If a student fights for control, de-select Share mouse control…



     c. Normally the Fit screen in window option is enabled. This shrinks the
       controlled screen into your window. If you are having trouble viewing the
       items on the screen, you can de-select the Fit screen in window function. You
       will then see objects full-size, but you may need to scroll both horizontally and
       vertically to view the whole screen.



     d. Click the Capture screen to a file button to save the controlled (or observed)
       screen to a file. You will be asked for a file name and to select the save
       location. This function is useful for archiving what a user is doing.



3. To end your Control / Observe session, click the Close window button.

Communicating With Workstations: Sending Messages and Chatting
1. Sending A Message
     a. Select the workstations you wish to send a message to, then click the Send a
      message… button (or Interact Send Message…)



     b. Type your message, and click the Send button.




     c. The users will see a dialog box with your message. They can then click OK to
       dismiss your message.




2. Text Chat (note: Text Chat can only work on one machine at a time)
     a. Select a workstation, and choose Interact Chat…




     b. Type you messages and press the Return key. Both parties can view the
       messages as they’re being typed.




     c. Click the Close Window button to end the chat session.

Sharing Computer Screens
With ARD 2.1 you can share your screen with all or some of the computers in the lab, which
is useful for demonstrating an assignment or task, or sharing something on the screen. In
addition, you can share someone else’s computer screen to the rest of the computers to
highlight a student’s work.

To Share screens-
1. Select the computers that you want to share screens to from a computer list
2. Click the Share Screens button (or Interact Share Screen…)


3. Choose which type of screen sharing you wish to use…
    a. Select Share your screen to share your screen to the selected computers




      b. Select Share other screen to share someone else’s screen to the selected
       computers.
         i. From a computer list, drag the screen you want everyone to view onto
           the Drag a computer to use as the source screen drop field




4. Click the Share Screen button. The shared screen will then appear on the selected
  workstations.
5. To stop the screen sharing, click the Stop button.




Hints:
  • Before sharing your screen, make sure you have the application you’re going to
    demonstrate ready to go in the background
  • Use the Remote Desktop Hide Remote Desktop (command – H) command to
    hide the Remote Desktop windows. Click on the ARD dock item to bring Remote
    Desktop back to the front.

Locking Computer Screens
At times in may be useful to lock the screens of the student workstations to get the students’
attention, block computer access until instructions are given, or to stop a student who is using
the computer inappropriately.

To lock the screens on workstations…
1. Select the desired workstation(s) from a computer list
2. Click the Lock screens on target computers button (or select Interact     Lock

  Screens…)
3. Enter the message you wish to be displayed, and click the Lock
  Screen button.
4. The locked screens will be blackened, and show a padlock and your
  message. Users will not be able to control the locked computers until
  you unlock them. (Some may try to bypass this by restarting the
  computers. STRONGLY discourage this as it can damage the
  computers)


Unlocking Screens of Locked Computers
1. Select the locked workstations from a computer list
2. Choose Interact Unlock Screen…




Hint: Use the Saved Tasks feature to quickly lock and unlock a group of
computers
ARD 2.1 allows you to save commonly used functions so that you can quickly re-use them.
To save the Lock task for an entire group:
1. Select all of the computers in the lab/library/group you wish to manage
2. Click the Lock screens button.
3. Enter your normal lock message (ex: “Please wait for instructions…”)
4. Click the Save button.
5. Name the task (ex: Lock All Lab 208), and click Save
6. Click Save (or Lock Screens if you wish to lock them at that time)
To save the Unlock task for an entire group:
1. Select all of the computers in the lab/library/group you wish to manage
2. Choose Interact   Unlock
3. Click the Save button.
4. Name the task (ex: Unlock All Lab 208), and click Save
5. Click Save (or Unlock Screens if you wish to unlock them at that time)

To use the saved Lock or Unlock tasks:
1. Click the Saved Tasks button on the left sidebar
2. Select the saved task you wish to use
3. Select Task Run (or Command – R on the keyboard)
4. The task will run and complete

Use the saved task function to save other common tasks, like observing all of the screens in a
lab, sharing the screens, etc…

Apple Remote Desktop For Administrators- Tips
ARD 2.1 offers many valuable functions for administrators- much too exhaustive to be listed
here- instead, please read the manual which is accessible from the Help menu.

Below are some general tips for ARD 2.1:

Tips
    Turn the Display colors down to grayscale for WAN viewing, and a notch up for
  •
    normal viewing. Full color detail is very bandwidth intensive…
    For remote installing/updating- always try to do it from a Remote Desktop admin from
  •
    within the building (Installing packages is an ideal way to update)
    Always make sure that a remote admin has the “Allow control of this computer…”
  •
    option is checked.
    To re-clone computers, use ARD to set the Startup Disk to the AutoNetRestore
  •
    network volume on the server.


Handy-Dandy Unix Shell Line Commands
ARD 2.1 allows administrators to execute UNIX commands on
remote machines. This is a very powerful feature which should
ONLY be used if you are sure of what you are doing.

Commands can be used in combinations using a “;”
to separate. Commands are tasks that are queued- the
next command task will not start until a previous task
is completed.

Many commands that work without a path in
Terminal may require the full path (eg /usr/bin) in
ARD. When in doubt, include the path…

To find out more about a command’s options, use the man command (manual) in Terminal.
For example, man say will display the instructions for using the say command.

Some Useful UNIX Commands and descriptions (run all as User: root):

Command                    Usage / Notes
reboot                    Forces a reboot of the computer. If a user is logged
                       in, it does NOT give them any warning or options...
diskutil repairPermissions /         Repairs permissions on the root hard drive- should be
                       used after any updates or installs (can be added to an
                       update command with a ;)
diskutil enableJournal /           Enables disk journaling on the root hard drive.
                       Should be enabled on 10.2+ systems, this command
                       is convenient for systems that have been updated
                       from a previous version of OS X.
niutil -destroy . /mcx_cache         Deletes the mcx_cache. Useful if cached login
                       information is interfering with logins (Typical errors
                       this can help: User can not log in at this time, login
                       failed, home directory not found, etc…)
osascript -e 'set volume 7'          Sends an AppleScript command to set the sound
                       volume of the computer (0-7). The osascript –
                       ‘applescript command’ can be used to execute any
                       Applescript command.
softwareupdate –i –a             Installs ALL available software updates. Should
                       usually be followed by the reboot command. Also,
                       you should run the repairPermissions command. If
( Suggest using: diskutil
                       updating a large number of computers, this will
repairPermissions / ; softwareupdate     saturate your network connection and many
–i –a; diskutil repairPermissions / ;     workstations will fail to update- download the
reboot )                   packages for the updates and use ARD to install
                       packages instead for large updates.
/System/Library/CoreServices/         (No line breaks) Restarts ARD on the clients. May
                       need to be ran instead via terminal, connecting to the
RemoteManagement/ARDAgent.app/Contents
                       workstation via ssh.
/Resources/kickstart -restart -agent
/usr/bin/say text to speak          Speaks the text that follows.
/usr/sbin/appletalk -u en0          Turns on Appletalk to the ethernet port
