Setting Up Your Sync Stations

In order for teachers to save their DIBELS assessment data, they need to sync their Palms. This document attempts to untangle the user name/password puzzle, clarify software and hardware needs, offer install and set up options, as well as provide "step by step" first time syncing instructions.

What you need to sync

Palm
Computer PC or Mac   OS X operating system  (if using a Mac)
mClass Conduit 4.2.2
Palm Desktop 4.0+
  Sync Cord
Computer logon  Palm Identity  WGSync logon

Names and Passwords

To succssfully sync their Palm to Wireless Generation, a teacher will use three different names and passwords.

  1. (school assigned) To log on to the workstation, the teacher will use their school assigned name and password–the logon they would normally use to access their files and programs every day. Example: user023  notno
  2. (user created) Each user will have a Palm sync name. This will be created the first time the user logs in to the Palm application. 

  3. (WGSync assigned) To log on to the WG servers in New York City and transfer datat to them, a teacher needs a WGsync name that has been created and assigned to them by the Office of Share Accountability. Example: scaher2  odd24go

Hint: Instead of trying to explain that the Palm Identity and the WGsync name have nothing to do with each other, have them use their WGsync names as their Palm sync name.

 

Software

You need to have two pieces of sofware installed on your computer to have it function as a sync station. This is true for both Mac and Pc.

  • mClass conduit 4.2.2
  • Palm desktop 4.0+

Verify the software is installed and upate-to-date before attempting to sync.

 

To check the version of the mClass conduit on a Mac workstation, open the mClass folder located in  the Applications folder on the hard drive. The conduit version is listed in the heading of any synclog  or in the Installer Log File. However in the Installer Log File, the version listed is as 4.2.3.

 

If you need to install /update the conduit:

  • You can download the mClass conduit installer from  mclasshome.com
  • You can call the Technology Support office 816-3048 ex.8777 or email scaher@buffaloschools.org to arrange for remote installation.
  • You need administrator's access to successully install this software

 

PC users need to call the Help Desk to arrange for a tech to come to their school to do the install.

 

To check the version of Palm software open the Palm folder located in Applications folder on the hard drive. You can launch the Palm desktop and choose About Palm Desktop from the Palm Desktop menu to verify the version. You could also use File:Get Info.

 

If you need to install/update your Palm software:

  • You can download the Palm Desktop from http://www.palm.com/us/software/desktop/
  • You can call the Technology Support office 816-3048 ex.8777 or email scaher@buffaloschools.org to arrange for remote installation.
  • You need administrator's access to successully install this software

 

PC users need to call the Help Desk to arrange for a tech to come to their school to do the install.

 

Reimage Workstations (Mac only)

You can also pick up the latest image at BPDTC with the updated versions of the software and using your firewire or laptop reimage the workstations you have designated as Reading First Sync Stations.

 

Syncing Step by Step

  1. Make sure the teacher has (a) a computer logon and (b) WGsync user name and password.
  2. Have the teacher logon to the workstation using their school assigned name and password. Example: user023 notno
  3. Locate the Palm folder in the Applications folder on the hard drive. Click on the HotSync Manager application icon. Make sure HotSync is enabled. Also check "Enable HotSync software at system startup" under HotSync options.
  4. Under Connections Settings in the HotSync Manager select  USB connection.
  5. The teacher should enter their WGSync user name and password (example: scaher2 odd23go) on the Palm in WGSync. While entering the information using graffiti is okay, using the "keypad" assures greater accuracy.

  6. Connect the Palm to computer with the USB sync cable.

  7. On the Palm initiate the hotsync process. Tap the hotsync icon in palm window or press the button on the hotsync cord.
  8. This will launch a Palm dialog on the computer screen, asking the teacher to create a new user. This could be any name, but to make things simple, have them use their WGSync name.
  9. Click Okay and and the sync should begin.

Please Note: This process must be repeated for each teacher as he or she syncs for the first time.

 

Troubleshooting

  • Midway throught the sync, the following message might appear, "mclass_cam: User name and password are incorrect." This means a typographical error was made when inputting the WGSync user name and password in WGSync. Stop the sync (a time consuming activity) and re-enter the name and password. Check the mclasshome.com website  to make sure the name and password are, in fact, correct.

Public vs. Private

Most PC sync stations will be public sync stations. Teachers will not

be able to backup their contacts, calendars, to do lists, and othe personal applications. Teachers will all log in with the same user name to transfer their assessment data to Wireless Generation

 

Mac workstations are private sync stations. Because they log in with their own user names and passwords, their Palm data is stored in their home directories. They can sync their  contacts, calendars, to do lists, and othe personal applications, while transferring their assessment data to Wireles Generation.
